Host a RubyZG Meetup
Hosting is quite straightforward - we try to keep the atmosphere relaxed and not complicate things for you as hosts.
π Scheduling & Timing
When: We usually aim for mid-month and organize most often on Tuesdays, though this isn't a strict rule - we can accommodate other days.
Start time: Meetups always start at 6:00 PM so people can comfortably arrive after work.
Duration: Most people start leaving around 8:00 PM, and the venue is usually empty by 9:00 PM. If you need to close earlier, no problem - we'll just ask people to leave sooner.
Flexible dates: We'll coordinate the specific date with you based on your availability.
π€ Event Format
We experiment with different formats, but so far it's usually been:
- β’ 2Γ20min presentations, or
- β’ 1Γ20min presentation + 2 lightning talks (5-10 min)
- β’ Time for Q&A from the audience
Company intro: We always give the hosting company a chance to introduce themselves at the beginning, before the presentations. If needed, we can set aside time for a short company presentation.

- β Room that accommodates 20-30 people (typical attendance)
- β Projector or screen we can connect to
That's really all we need from a technical perspective!
π Food & Drinks
As part of sponsorship, companies usually provide some food and drinks so people stay a bit longer for socializing after the presentations.
Typical Setup

- β’ Maybe some beer, if that works for you

π― Speakers & Presentations
Usually someone from the hosting company gives one of the technical presentations and we find other presenters.
However, if you have multiple people in your company who would like to present, we can arrange that too!
We handle all speaker coordination and ensure a good mix of topics and experience levels.
